Pre-Health Liaison

Constitution

I. Mission

The mission of the Pre-Health Liaison is to raise awareness of its members and the Simmons University community about the medical, dental, veterinarian, and physician assistant fields and the specialties within those fields, as well as to support members who wish to pursue careers in any of these areas. The liaison’s activities are to be designed to empower students through knowledge regarding health policy, disparities, and advocacy. In addition, it aims to provide opportunities for students to take action on health-related issues on the local, state, national, and international levels. Liaison members are to develop their leadership skills in order to feel more confident in their future as health professionals and to raise awareness on prominent health issues among the Simmons University community.

II. Membership, Inclusivity, and No Discrimination Clause

The Pre­-Health Liaison is open to all communities and does not tolerate discrimination against race, gender, sexual orientation, etc. While there are no requirements to become a member, an interest in furthering our above mission is desirable.

III. Internal Chapters

Members pursuing the Pre-­Medical track (MD) within the Pre­-Health Liaison are invited to join the Simmons chapter of the professional group American Medical Students Association (AMSA). ­ Members pursuing the Pre-­Dental track within the Pre­-Health Liaison are invited to join American Student Dental Association (ASDA). The members will be in a collaborative chapter with the Colleges of the Fenway. ­ Members pursuing the Pre­-Veterinary track within the Pre-­Health Liaison are invited to join American Pre­-Veterinary Medical Association (APVMA) as well as the American Veterinary Medical Association (AVMA).

IV. Executive Board Overview

The Executive Board of the Pre-Health Liaison consists of the President, Vice President, Treasurer, Secretary, SGA Representative, Public Relations Chair, Pre-Medical, Pre-Dental, Pre-Veterinary, and Pre-Physician Assistant Chairs. Executive Board members are expected to attend all events and bi-weekly meetings.

V. Executive Board Responsibilities

President:

  1. Conducts bi-weekly meetings with the Executive Board as well as separate meetings with the Vice President.

  2. Acts as a default event coordinator for programs and activities:

  • Delegates responsibilities for each event to members and oversees their progress, and assists other pre-professional chairs with their tasks.

   3. Acts as the liaison between Pre-Health Advising, Pre-Health faculty advisor and the Pre-Health Advisor.

   4.  Collaborates with Treasurer to finish budget requests.

   5. Confirms additions and changes to the Simmons Pre-Health Liaison website.

Vice President:

  1. Leads meetings if President is unavailable.

  2. Collaborates with the Public Relations Chairperson to publicize events through flyers and social media.

  3. Communicates with OSLA/other organizations about programming.

  4. Assists President in event planning for programs and activities as well as budgeting.

  5. Keeps up-to-date with Pre-Health Liaison email.

  6. Updates and helps run the Pre-Health Liaison Google Calendar with the President.

Treasurer:

  1. Responsible for managing the Pre-Health Liaison's finances (jointly with the President).

  2. Responsible for keeping up with deadlines for creating the budget requests, purchase requests and overseeing revenue funds. The Treasurer must attend budget training, and follow all of the Student Government guidelines.

  3. Appoints person for organizing bake sales each semester for fundraising.

  4. Stays in contact with the SGA representative about budget and appeal deadlines.

Secretary:

  1. Records notes from all Executive Board meetings.

  2. Book rooms for events the liaison is holding.

  3. Emails the general body with information pertaining to what the liaison is up to.

  4. Keeps a record excel file of member participation at events for end of ­the semester reports to the club’s advisor.

  5. Collaborates with President to manage the Pre-Health Moodle Portal to be shared with all members, so that they can be informed of upcoming liaison events.

SGA Representative:

  1. Attends all SGA meetings and is responsible for taking notes and reporting back to the President or Vice President.

  2. If unable to attend a meeting, they must find a replacement (a fellow E-board member) for that meeting and notify the President or Vice President.

  3. Reports back to the liaison about information discussed in each SGA meeting and informs the SGA of liaison activities and concerns.

  4. Reports important budgeting dates and deadlines to the Treasurer.

  5. Help wherever is needed. This can include anything that makes the E-board and the events run smoother.

Public Relations Chairperson:

  1. Promote events through social media (Facebook Group, Instagram, Website and Pre-Health Moodle Portal). 

  2. Makes events on Facebook.

  3. In charge of the Simmons Pre-Health Liaison website.

  4. Takes photos during events and posts them to Pre-­health Liaison’s Facebook group and Instagram story to promote the events in the Simmons community.

  5. Creates and promotes events through posting flyers over campus (sending them to Pre-Health Advisor to print) and getting them approved through OSLA or Res Life depending on which campus they will be posted around. 

  6. Sending flyers to weekly newsletter.

Pre-Dental, Pre-Veterinary, Pre-Physician Assistant and Pre-Medical Representatives

  1. Each chair keeps the group updated regarding events they are hosting for students in their respective fields.

  2. They are the primary contact person for their pre-professional track of interest.

  3. They must attend all Pre-Health liaison Executive Board meetings in addition to half of the events hosted by the liaison, not including their own.

  4. Informs students about volunteer opportunities and internships within their track, so that students are aware of the opportunities available near and around Simmons.

  5. Keeps in touch with regional directors of national chapters that each track is involved in

  6. Keeps in constant contact with the following Executive Board member: President & Vice President (to check-in), Treasurer (to check-in regarding funds), Secretary (to send out emails from the liaison email and book rooms), and PR Chair (to promote the events).

VI. Elections

Elections will take place in the beginning of February in order for the newly elected E-board to shadow the current roles so they are prepared to take over the following year. Student will nominate themselves and will need to confirm their place on the ballot a week before elections. Also a week before elections close, candidates who are not running unopposed will give speeches and there will be a questions and answer session that follows. To run for President or Vice President, the nominee must be either a Junior or Senior and have held a position on the E-board before. ­In order to ensure that the elections are as fair as possible, they will take place via Google Forms. This will ensure that only Simmons students are voting and that each person only votes once. ­The President or Vice President, depending on whether they are running for a position for the following year will be responsible for creating and monitoring the ballots. Seniors may vote as they see fit, and may refrain from voting if they wish.

VII. Accountability and Rules of Order

a. General Meetings:

For the 2019-2020 academic year, there will not longer be general body meetings held weekly. Instead, the Pre-Health liaison will focus on sponsoring events, with the goal of supporting members and Pre-Health students from every track.

b. ​Events:

The newly elected E­-board will decide on events for Fall 2019/Spring 2020 in time for Spring 2019/Fall 2019 calendaring and budgeting deadlines. Various events will be held throughout the spring and fall semesters. These events will aimed at educating and supporting all Pre-Health students.

c. E­-Board Meetings and Participation:

​For the 2019-2020 academic year, bi-­weekly meetings will be held. These meetings will be scheduled, in order to best accommodate everyone’s schedules. These meetings are to be held in-person and not online via Zoom. All E-board members are expected to attend all eBoard meetings. If an E-board member cannot attend the in-person meetings, then the president will be in charge of having a separate meeting with that E-board member to catch them up to speed. In the event that an E-board member is unable to attend a meeting or event, he/she/they are required to give advance notification to the President/Vice President via email or text. If an E-board member misses the meetings without notifying the President or Vice President, they will have to issue a statement of appeal to the remaining eBoard. This will include the member defending their privileges as an E-board member. Upon two unexcused absences, he/she/they will lose their position on the E-board. E-board members that miss two meetings will be asked to consider stepping down from his/her/their position. In this case, an election will occur. It is expected that each E-board member will try to attend at least 50% of events held that semester and/or part of the event and to contribute to events that she/he/they cannot attend.

If it is felt that an E-board member is not holding up their end, not meeting responsibilities and expectations, and/or not behaving accordingly then it can be brought to attention during an E-board meeting and if at least two members feel the same way, it can be brought to a vote to have that person consider stepping down from their position.

d. ​Members’ Participation:

While there will be no general bodies for the 2019-2020 academic year, members and Pre-Health students are encouraged to attend events for their own benefit. In an effort to recognize members’ commitment and activism within the liaison, the secretary is to compile an attendance list of all organized events indicating participating members and their role in each event.

VIII. Website and Social Media

The Pre-Health Liaison schedule of events, graduate exam study resources, specific pre-health track information including pre-veterinary, pre-physicians assistant, pre-medical, and pre-dental tracks as well as specialties within those tracks, current E-board member bios, and contact information can be found on the Pre-Health Liaison’s website. All members should join the group’s Facebook page and Instagram page in order to keep up with events and connect with the liaison’s members. Current Information on events and updates will be on the shared Google Drive Folder including the minutes from every E-board meeting. Event will also be posted on the shared Google Calendar that each member should have access to.

IX. Amendments

Decisions on Amendments to the constitution can be made at the beginning or end of each semester, unless extenuating circumstances arise. Any member can bring proposed amendments to the Executive Board, who will then vote on whether or not to make changes to the constitution.
